Sharing DMS Documents with a third party

It is a simple process to transfer documents held in the LegalOffice DMS to another party / location.

Selecting the documents

You can select single or multiple documents to transfer.

  • To select a single document, locate the document and left click to select the document;
  • To select all documents for a particular client, use the MyClients right click menu item ‘Client Docs’, when the DMS opens displaying the client documents press Ctrl-A to select them all;
  • to select all documents for a particular matter, use the MyMatters right click menu item ‘Matter Docs’, when the DMS opens displaying the matter documents press Ctrl-A to select them all;

Export the documents from the DMS

There are a number of options available in how you export documents. The most common are;

  • export to a another party or any folder/device on your network
  • share directly with clients/another party via your chosen file sharing website
  • print all documents

Export to another party

Use the right click menu option ‘Copy to’. The standard Windows folder select screen will display. Navigate to the folder you wish to export the files to, or use the ‘Create folder’ option to make a new folder for these documents.

Select the OK button.

The folder now contains the exported documents and is available for use e.g. ready to be sent to the other party.

Simply copy the folder to another location e.g. USB stick, email, Dropbox

Share Documents directly with another Party or Client

Use the right click menu option ‘Share Document/s’.  The selected file/s will automatically be transferred to your chosen file sharing site. These can be sites like Dropbox, OneDrive, TheBox or your own Extranet.

Print Documents directly

Yuk but if you have to. Use the right click menu option ‘Print Document/s’.  The selected file/s will automatically be printed to your default printer.
